Homestay Inspection Procedure
Purpose
To ensure that the homestay accommodation provides a safe, secure, and comfortable
environment for students.
Inspection Schedule
• Conduct an in-person inspection for every first-time host before the student arrives. If
the homestay family is already working with a NEAS quality endorsed homestay
service provider, the inspection may be conducted virtually.
• Every six months thereafter, conduct inspections of the home either in person or
virtually via Zoom, Teams, or a similar platform.
Procedure for Homestay Coordinators
1. Pre-Inspection Preparation:
• Contact the host to schedule the inspection.
• Confirm the inspection method (in-person or virtual).
• If virtual, ensure the host has access to the required technology.
2. During the Inspection:
• Follow the checklist below to ensure all criteria are met.
• Document any issues and provide guidance to the host for resolving them.
3. Post-Inspection:
• Share feedback with the host, highlighting any areas needing attention.
• Record the inspection details and any follow-up actions required.2
Inspection Checklist
1. Student’s Private Room:
☐ Room is private and suitable for sleeping and studying.
☐ Room has a bed, pillow, linen, desk, chair, storage space, lighting, heating, cooling, and
ventilation. Room curtains or blinds are in good condition.
☐ Room is in good repair and reasonably clean.
2. Room Sharing (if applicable):
☐ Each student has their own single bed, pillow, linen, desk, chair, and storage space.
☐ No more than two students per room, unless otherwise agreed (e.g., during study tours).
3. Shared Areas:
☐ Students have access to a lockable bathroom and toilet.
☐ Kitchen, laundry, and living areas are available to students.
☐ Household essentials (laundry detergent, clothes hangers for drying, soap, toilet paper,
towels) are provided.
4. Security and Safety:
☐ Each student has a key or entry code to access the premises.
☐ Working smoke alarms are installed and the property complies with health and safety
laws.
5. Meals (if applicable):
☐ Meals are provided according to the service agreement.
6. Private Access and Safety (single placements):
☐ Student has private access to their room during the contracted period.
☐ Host checks the room for cleanliness and safety as agreed with the student.
7. Under 18 Students:
☐ The student lives within the premises with the host (not in a separate space like a granny
flat).
8. General Condition:
☐ Property is in good repair and clean.
9. Household Members:
☐ One or more key household decisionmakers should be present during the inspection.
Additional Notes:
☐ Any maintenance or safety issues reported by the host or student are documented and
addressed.
☐ If conducting a virtual inspection, ensure all rooms and areas are shown clearly.
